What are Notes?

Notes in Hejj are designed for informal observations or feedback that occur outside of formal conversations.


When to Use Notes

Use notes to capture:

  • An employee mentions a family member's health is weighing on them

  • You overhear concerns about a new policy at the coffee machine

  • You notice a colleague seems less engaged lately

  • Someone delivers exceptionally good work on a project

  • Any observation or feedback that doesn't belong in a formal conversation

In short: Notes are for everything that happens outside of scheduled 1:1s or performance reviews.


Adding Notes Quickly

Notes can be added quickly using the quick action shortcut.

Press Ctrl + K (or Cmd + K on Mac) to open the quick input function, where you can immediately add a new note about an employee.

This allows you to capture observations or feedback quickly without navigating through multiple screens.


Default Privacy: Notes Are Private

By default, notes are always set to private.

This means:

  • Only visible to the person who created the note

  • Not visible to the employee

  • Not visible to HR

  • Not visible to upper management


Changing Note Visibility

You can manually adjust the visibility of any note. Visibility options include:

Private

  • Only you can see it

Public

  • Visible to the employee, their manager, HR, and upper management

Custom

  • You manually select who has access


Tagging Colleagues in Notes

You can tag a colleague within a note using the @-function.

When you tag someone:

  • That person receives an email notification

  • That person gains access to the note

This works even when the note is set to private. Tagging someone automatically grants them access.


Finding Notes for a Specific Employee

All data points related to your employees can be found on the employee timeline.

Quick access tip: Press Ctrl + K (or Cmd + K) to open the quick menu, which also works as a smart search function. Type the employee's name, and you'll be taken directly to their timeline.
